St. Vincent de Paul CARES

St. Vincent de Paul CARES is a nonprofit organization that is dedicated to ending homelessness in Florida. The organization had nine offices, two shelters, a food kitchen that provided three meals a day, a food pantry, two permanent housing complexes, and a thrift store. There were two signature events I led and then I also managed all volunteers and multiple donation drives.

I expanded awareness of our organization's programs by fostering community partnerships and coordinating multiple impactful in-kind donation drives.
Volunteer Management
I effectively recruited, trained, and scheduled over 200 volunteers who were crucial in serving meals at the homeless shelter and organizing the thrift store. To keep volunteers engaged and informed, I created and distributed a digital newsletter which consistently achieved an impressive 54% open rate.

Empty Bowls
I coordinated the Empty Bowls fundraising event at a local pottery studio. This impactful event, featuring hand-made clay bowls, donated soup, a live band, and silent auction packages, achieved a 30% year-over-year revenue growth.
Pizza Palooza
I coordinated Pizza Palooza, a dedicated volunteer and landlord stewardship event held at a local brewery. For this appreciation event, I successfully partnered with local pizzerias to secure in-kind donations of food, and also solicited donated printing services and food warmers, ensuring an enjoyable experience for all attendees.

Nashville Zoo

Special Event Coordinator
June 2021 - January 2023
At the Nashville Zoo, a 90-acre home to over 3,000 animals, I had the incredible opportunity to lead approximately 20 events annually, with capacities ranging from intimate gatherings of 50 to large-scale events for 4,000 attendees. This diverse portfolio of events, from coordinating with local organizations for essential toy, food, and book drives to assisting with paid events and birthday parties, served as an intensive, hands-on crash course in the event industry. It provided me with a comprehensive understanding of event management across various scales and types, significantly broadening my skill set and practical knowledge.

Family Events

Boo at the Zoo
A three-week yearly trick-or-treat event that encompassed 40 acres and had an average of 3500 guests per night. I designed CADs, sourced materials, and coordinated decoration of multiple zones. I also oversaw dozens of volunteers, ordering of candy, and setup/breakdown timelines. I worked with sponsors to schedule when they came to the event and ensured their sponsor benefits were received.


EggstravaganZoo
Starting with a VIP breakfast at 7 am, I facilitated a dozen egg hunts for over 7,000 guests. I worked with a corporate sponsor to get the prize bag contents donated and managed volunteers at various easter-themed games and activities.


Zoo Run Run
For the zoo's annual 5K race I managed an event for 2,500 racers of all ages. My responsibilities included creating and blocking out the race route and sourcing race shirts. I also collaborated with a timer company to register participants with timing chips to accurately determine ranked finishing places for all racers.


Additional Events
I also led other events including Santa Meet and Greet, Summer Splash, and Zzzoofari Campout. I coordinated with local organizations to host community toy, food, and book drives.

I managed three annual 21+ fundraising events, each consistently selling out to 3,500 attendees. For these large-scale events, I coordinated with over 50 vendors to provide diverse beer, wine, and spirit sampling experiences.My responsibilities included booking multiple musicians positioned throughout the venue and securing a variety of food trucks to enhance the guest experience. I also handled all necessary city permits and police coordination for each event. In addition, I created the detailed CAD layouts and directly managed all setup and breakdown logistics with staff, volunteers, and rental companies.

St. Louis Children's Hospital

Senior Donor Event Coordinator
January 2023 - Present
At St. Louis Children's Hospital, I play a key role in their philanthropic efforts, which include four signature fundraising events and numerous smaller stewardship gatherings. I proudly serve as the event lead for Play Date, our flagship gala that flips the traditional black-tie affair on its head. This event encourages guests to rediscover the simple joys of childhood through a fun, interactive evening. Each year, Play Date is reimagined with a captivating new theme, featuring engaging interactive games and activities, culminating in a sophisticated seated dinner, an impactful program, and a fantastic after-party with live music.

Play Date 2023

Through the Decades
For the 10th anniversary of our Play Date event, we crafted a multi-era themed experience across three distinct rooms. Guests first stepped into a vibrant 90s-inspired space, then moved into an energetic 80s-themed room, culminating in a dazzling 70s disco ballroom.
I managed all event logistics, encompassing vendor coordination, on-site management, volunteer recruitment, and menu curation. Additionally, I led an event committee of eighteen board members. This committee was instrumental in soliciting live auction items, gift cards, sponsorships, and raffle items, as well as driving ticket sales.For the 2023 event, I collaborated with an event production company to design and construct custom decorations and centerpieces. I also personally sourced essential event elements such as auction paddles, branded cups, linens, and chairs.

Play Date 2024

Destination DiscoveryIn 2024 I brought all event planning in-house which resulted in a $40,000 budget reduction without sacrificing aesthetics or guest experience.I created five theme ideas and a one-pager for each. The committee chairs picked the final choice. The chosen theme, Destination Discovery was a compelling mix of treasure hunt adventures and classic exploration films. This name not only encapsulated the immersive guest experience but also cleverly referenced our organization's funding entity, the Children's Discovery Institute.Following theme selection, I created a booklet which included a CAD. My vision was to transport guests on an immersive journey to a mystical island for a treasure hunt. They began in the pirate port town before following the map dashes and journeying further into a tropical jungle. Finally, the stone door opens and the City of Gold ballroom is revealed.I developed a detailed budget based on yearly planning and incorporated a buffer for contingencies. This allowed for precise financial management throughout the planning process. I then solicited bids from three décor teams and five florists. After a thorough review of all proposals, my team and I selected two décor companies and two florists to bring the vision to life.My responsibilities extended to coordinating with a production company to secure a DJ, band, emcee, and character actors. To ensure seamless progression, I conducted bi-weekly check-ins with the decor vendors, addressing questions and monitoring project timelines. I also collaborated closely with the in-house AV team and the Four Seasons venue staff to finalize all logistical requirements. Additionally, I managed the rental of tables and chairs from an external vendor and secured alcohol donations.

I recruited and trained a team of volunteer staff to work alongside our digital fundraising service providers. On the day of the event, I managed the live timeline, ensuring every element ran smoothly. A key highlight of the evening was the dramatic call to dinner, featuring a character actor, embodying Indiana Jones, who led guests to the "hidden" ballroom entrance. I also served as the program director, ensuring speakers were prepared and music cues were perfectly executed.Destination Discovery achieved remarkable success, hosting our largest turnout to date with approximately 480 guests. We surpassed our fundraising goal by $65,000, ultimately raising a total of $545,000.
